Position Overview

Ultimate Staffing Services is actively seeking an experienced Order Desk Administrative Assistant to join their client's team in California. This role is pivotal in ensuring efficient order processing, interdepartmental coordination, and providing administrative support. The ideal candidate will possess excellent organizational skills and the ability to work independently in a fast-paced environment.

Responsibilities

Order Desk Support

  • Process and move orders from Sales to Completions within the ERP system.
  • Match Purchase Orders (POs) to Sales Orders (SOs) and address discrepancies.
  • Collaborate with Sales, AR, Customer Support, and Operations for timely product delivery.
  • Provide internal customer support and assist with distributor-related inquiries.
  • Ensure high accuracy and attention to detail by following established processes.
  • Cross-train with other admins for comprehensive order desk coverage.

Administrative Support

  • Handle confidential tasks involving HR, Finance, and Operations with discretion.
  • Maintain and update company calendars and oversee PTO and time-off requests.
  • Process AP invoices, manage check runs, and maintain process documentation.
  • Draft and edit internal communications with strong grammar and clarity.
  • Support company events and assist with development initiatives.

Qualifications

  • Experience with ERP systems (AccountMate preferred, but any ERP is acceptable).
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Strong written and verbal communication skills.
  • Ability to work independently and adapt to varying tasks.
  • High level of confidentiality, consistency, and collaboration.
  • Comfortable working onsite full-time.

Preferred Attributes

  • Prior experience in a manufacturing or distribution environment.
  • Familiarity with ISO certification processes.
  • Experience supporting executive-level staff or acting as a departmental liaison.

Required Work Hours

Monday through Friday, 1st shift.

Additional Details

Salary: $25 per hour.
